Free Plumbing Invoice Template
Plumbing jobs are billed in a way homeowners often find confusing: a call-out or trip fee, labor by the hour, parts at retail, and sometimes an emergency or after-hours surcharge. This free plumbing invoice template — Word .docx and Excel .xlsx below — gives each of those its own line, so the customer can see exactly what they are paying for before they question it.
Most plumbers invoice on the spot or the same evening, which is where a template file gets slow. The free generator below keeps the math out of your hands: enter hours and parts, and the subtotal, tax and balance due are calculated for you, ready to download as a PDF from your phone or laptop.

What to put on a plumbing invoice
Start with the essentials — your business name, license number where your state or city requires it, the customer and job address, an invoice number, and the date of service. Then itemize the work: the call-out or diagnostic fee, labor as hours × your hourly rate, each part or fixture installed, and any disposal of old equipment such as a water heater.
Describe the problem and the fix in plain words ("Replaced corroded shut-off valve under kitchen sink"). A one-line description turns a bill into a service record, which customers keep for warranty claims, landlords and home sales — and it heads off the "what did I pay for?" phone call.
Emergency and after-hours charges
If you charge more for nights, weekends or holidays, put the surcharge on its own line rather than quietly raising the hourly rate. Customers accept a premium they were told about; they dispute one they discover. Mention your after-hours rates when you take the call, then show the same figure on the invoice.
Add your payment terms and how to pay in the notes — many plumbers ask for payment on completion. In the InvoiceStudio generator you can print your bank details or your own payment link (Stripe, PayPal, Wise, Revolut) on the invoice so the customer can pay straight away.
FAQ
Should a plumber charge a call-out fee?
Many do, to cover travel and diagnosis. If you charge one, state it when booking and list it as its own line on the invoice. Some plumbers waive or credit it when the customer goes ahead with the repair — if so, show that as a discount line.
Do I list parts separately from labor?
Yes. Separate lines for parts and labor make the invoice easier to approve, help with warranty claims on specific fixtures, and matter for sales tax in places where parts and labor are taxed differently.
Do I need my license number on a plumbing invoice?
It depends on where you work — some states and cities require licensed trades to show their license number on invoices and contracts. Including it is good practice everywhere because it reassures customers and property managers.
