How the built-in formulas work
Each row in the charges table multiplies quantity by unit price to produce the amount, and the total row sums the amount column. That means you only ever type descriptions, quantities, and rates — the arithmetic is untouchable. The sheet also has labeled cells for your business details, the client, the invoice number, and issue and due dates, with column widths preset so it prints cleanly.
To invoice, fill in the placeholders, save a copy named after the invoice number (for example INV-0021.xlsx), and export a PDF via File → Save As or File → Export before sending. Clients should receive the PDF, not the editable workbook.
Where spreadsheet invoices break down
Formulas are only as safe as the last person who edited them. Insert a row below the table and it escapes the SUM range; sort the rows and references can shift; delete a cell a formula depends on and you get an error — or worse, a silently wrong total.
